A Medicare website that captures appointment requests before and during AEP

A Medicare website has one season that matters and one job: give a beneficiary or their adult child a clear page for each plan type, carry the disclaimer wording you supply, and let them request an appointment in under a minute. We build it that way and keep it updated through the year so the site is ready when the annual enrollment period opens.

What usually goes wrong for Medicare agents

  • Plan pages carry last year's wording, and every October you scramble to update disclaimers by hand while the phone is already ringing.
  • The appointment form asks for a Medicare number on the first screen, so the people who need help most stop before they finish.
  • Adult children searching on behalf of a parent land on a page written for the beneficiary and cannot tell whether you can help them at all.
  • National call centers outrank you for "Medicare plans in your town", and your site has no town page to compete on the search that would have been yours.

Appointment request form for Medicare

A one-screen form that asks for zip, the month the person turns 65 or their Part A and B effective dates, whether they are reviewing an existing plan, and the preferred day and time for a call or visit. It never asks for a Medicare number or health details. Your required disclaimer sits directly under the submit button in the wording you supply. Requests land in your CRM tagged by county so your calendar fills in order.

A quote request is not a quote, an application or a binder. Nothing is in force until a licensed producer and a carrier bind it.

What matters most

The parts of the package that matter most for Medicare agents

Every plan carries the whole site. For Medicare agents, these are the pieces that do the most work, with the plan that carries each one.

A quote request form for every line you write (Every plan)

One generic "contact us" form that turns every prospect into a blank conversation your CSR has to chase.

  2. 02

AI receptionist that answers when your team cannot (Multi-Line and Agency Book)

Missed calls after hours and during renewal season that go to voicemail and then to another agency.

  3. 03

Agents configured never to quote or advise (Multi-Line and Agency Book)

The worry that an AI says something a licensed producer would not.

  4. 04

Privacy, terms, cookie and accessibility pages, plus your disclaimer wording (Every plan)

A site with no policies, or policies copied from a template for a different kind of business.

  5. 05

Researched articles every week (Every plan)

A blog that stopped after launch week, and no answers to what people search before they call.

What agency owners tell us

Client notes from agency staff on the part of the site that changed their working day.

  • The idea that visitors could sort themselves before writing seemed obvious only in hindsight. New inquiries get the full form; follow-ups take a shorter route with the question itself. Returning customers no longer repeat the whole form to ask one question.

  • A lot of our personal coverage inquiries interest arrives after we close; the site finally accepts that. Evening visitors leave structured information and an honest response time, nothing more promised. Mornings start with a proper queue rather than voicemail archaeology.

Questions from Medicare agents

Will the pages carry the disclaimers I am required to show?

Yes, in the exact wording you supply, in the positions you specify, on every page you tell us to place them. We do not write compliance language and we do not certify that the site meets any regulator's marketing rules; that responsibility stays with you and your FMO. When wording changes, send the new text as a revision and it is live within 2 to 5 working days.

Can you update the site quickly before the annual enrollment period?

Yes. Plan-year changes count as normal revisions, and five are included every month with no limit on how much each contains, so the whole set of plan pages can be refreshed in one request. Most agents send their AEP updates in early September so the pages are approved and live well before October. Extra revisions in a busy month are billed at the flat rate on the pricing page.

Should the site list the carriers and plans I offer?

It can list the carriers you are contracted with, with the disclosure wording you require, and it describes each plan type in general terms. It does not compare benefits, quote premiums or state eligibility, because those belong in an appointment with you. Adult children get their own page that explains how to help a parent and what to bring to the call.

Which plan suits a Medicare agent with a seasonal workload?

Most start on Single Line, which carries every plan page, the county pages and the appointment form. Agents who cannot answer the phone during AEP move to Multi-Line for the AI receptionist, which takes appointment details by phone and text and drops them into your CRM. The pricing page compares the three, and the build fee is invoiced only after the site is live.

Will the AI receptionist talk about specific plans?

No. It is configured to take the caller's name, a good time to call and what they want to discuss, and to book an appointment. Plan questions go to you.

Do the pages follow CMS marketing guidelines?

Pages are written in general terms with CMS marketing guidelines in mind and carry the disclaimer wording you supply. You or your compliance contact approve the final wording; we do not give legal advice.

Can the site handle a surge of calls during enrollment?

On Multi-Line and Agency Book, the AI receptionist answers when every line is busy and books callbacks, so callers are not sent to voicemail.

Can we mention the states we serve?

Yes. Your license states and the areas you serve, such as Arizona or Florida communities, appear on the site as you supply them.
